Outcome
From thousands of profiles to a clearer path to the perfect match.
The challenge
Recruiting is a time-critical process. When a new position comes in, teams need to understand the requirements quickly and identify the candidates who match them best. The goal is the “Perfect Match” — a candidate whose skills, availability and other criteria align closely enough to make a successful placement more likely.
The existing CRM, StaffIt Pro, had become outdated both visually and functionally. Working with candidate data, positions and histories involved unnecessary effort, while the growing complexity of the information made it difficult to move quickly without losing context. The new product had to support around 20,000 candidate profiles, each containing a large amount of information that needed to remain searchable, understandable and easy to maintain.
The challenge was not simply to modernise an old CRM. We needed to redesign the recruiting workflow around speed and relevance: reducing clicks and manual effort, prioritising the information that matters and helping users move from a large pool of data to the right candidate without turning the process into a black box.
How might we help recruiters find the perfect match faster while keeping every decision transparent and easy to understand?

Key design decisions
Design search around the perfect match
Recruiters needed to identify the most suitable candidate from thousands of profiles while working against time and comparing multiple criteria.
We designed search and filtering around the information that matters most to a recruiting decision, helping users progressively narrow large candidate pools and move quickly towards the strongest matches.
Recruiters could move from a broad talent pool to a focused shortlist with less manual comparison and a clearer understanding of why a candidate was relevant.

Reduce effort, not understanding
The product had to make complex recruiting data faster to work with without hiding the information users needed to understand and trust a potential match.
We shortened paths to key actions, prioritised decision-relevant information and made the factors behind candidates, positions and their histories transparent and easy to scan.
Users could reach relevant results with less effort while retaining the context needed to evaluate and trust what they were seeing.

Product experience

Reflection
One of the biggest challenges was learning that in a data-heavy product, reducing complexity does not simply mean showing less information.
The system needed to be fast and easy to use, but recruiters still had to understand the information behind a result and trust why a candidate appeared to be a strong match. The real challenge was finding the right balance between reducing effort, shortening interaction paths and maintaining transparency.
Looking back, I learned that the quality of a complex business application is often defined by how much unnecessary work it removes while still giving users a clear understanding of what is happening. The goal was not simply to create a cleaner interface, but to help users reach the right result with as little friction as possible.
